Depending on the solution, that can mean very different things.

A basic integration might let a salesperson:

  • Create Salesforce records from their inbox
  • Manually relate an email to an opportunity
  • Log an email to a contact
  • View Salesforce information while composing an email

The right answer depends less on “Can this tool sync email?” and more on “What do we need Salesforce to know about our customer relationships?”

1. Manual Email Logging in Salesforce

The simplest Salesforce email integration is no integration at all. A salesperson sends an email from Gmail or Outlook and manually logs it to Salesforce.

Salesforce supports manual email logging through its email tools, including the ability to relate emails to Salesforce records. Enhanced Email also allows emails to be stored as EmailMessage records rather than simply appearing as generic tasks. 

How it works

 

A typical workflow looks like this:

Send email → choose Salesforce record → click Log Email → Salesforce records the activity

The rep decides where the email belongs.

That might be a contact, lead, account, opportunity, case or another Salesforce record that supports activities.

What manual logging does well

 

Manual logging has one major advantage: Control. The rep decides exactly what belongs in Salesforce.

It can also be inexpensive because you’re using functionality already available within Salesforce rather than introducing another platform.

Manual logging may be enough for organizations that have small sales teams, low email volume, simple sales processes, strong CRM discipline or limited need for historical activity.

Where manual email logging breaks

 

The problem is not whether Salesforce can log the email. The problem is whether people will consistently do it.

Consider a salesperson handling 80 customer emails a day. If logging each message takes even a few seconds, the process becomes tedious. More importantly, it introduces human judgment into the CRM data:

  • What did the rep remember to log?
  • What did they forget?
  • Which record did they choose?
  • Did they log the reply?
  • Did they add the new stakeholder they were emailing?

There are also hard limits to some manual methods. For example, Salesforce’s Email to Salesforce functionality can match up to 50 email addresses and can create up to 50 email activities for a received email; email text and HTML are truncated at 131 KB. 

Best use case: Small teams that need occasional email logging and don’t need automatic capture.

Verdict: Inexpensive, simple and controllable, but fundamentally dependent on rep behavior.

2. Salesforce Outlook and Gmail Integrations

The next level is Salesforce’s native integrations with Microsoft Outlook and Gmail.

This is where the phrase Salesforce email integration can become confusing.

The Outlook/Gmail integration is primarily about bringing Salesforce into the rep’s inbox.

Salesforce describes the integration as a way for reps to view, edit and create Salesforce records from their email environment and relate emails and events to Salesforce records. 

The Outlook integration is available as a Salesforce add-in through Microsoft AppSource, while the Gmail integration is available through Salesforce’s Chrome-based experience. 

What the Outlook/Gmail integration can do

Depending on configuration and licensing, reps can:

  • See Salesforce records while working in email
  • Search Salesforce records
  • Relate emails to Salesforce records
  • Log emails and events
  • Create contacts and leads
  • Create other Salesforce records
  • View Salesforce information alongside emails
  • Use email templates
  • Access productivity functionality

Salesforce’s current documentation also confirms that the integrations can log emails and events to records created from custom objects when those objects support activities. 

And Salesforce continues to update the matching and search behavior.

For example, a June 2026 Salesforce knowledge article explains that Outlook and Gmail integrations automatically search email addresses in the From, To and CC fields and can return records across Salesforce objects with Activity Timeline enabled. 

The important distinction: Integration does not mean automatic capture

Installing the Outlook or Gmail integration does not automatically mean every customer email is being captured into Salesforce.

Salesforce explicitly points admins toward Einstein Activity Capture when they want emails to be automatically logged to related Salesforce records. 

Think of it this way:

Pros:

  • Native Salesforce experience
  • Familiar Gmail/Outlook workflow

Cons:

The biggest limitation is behavioral.

If your process depends on the rep clicking Log Email, you’re still depending on rep compliance.

Salesforce itself documents that automatic search and matching is based heavily on email-address relationships and Salesforce records that support activities.

Best use case: Organizations that primarily want Salesforce functionality available inside Gmail or Outlook.

Verdict: Excellent inbox integration. Not necessarily a complete activity-capture strategy.

3. Einstein Activity Capture: Salesforce's Native Email Sync

Einstein Activity Capture connects Microsoft or Google accounts to Salesforce and automatically captures email and event activity, associating it with relevant Salesforce records. 

This is where Salesforce email sync becomes significantly more powerful.

Instead of asking a rep to remember if they logged an email, the system captures activity automatically.

What is Einstein Activity Capture?

Einstein Activity Capture, commonly called EAC, is Salesforce’s activity-capture technology for automatically bringing email and calendar activity into Salesforce.

It can capture emails, calendar events, participants and other related activity, and associate the information with Salesforce records.

Salesforce describes the current architecture as capturing email messages and storing them as EmailMessage and Task records when Sync Email as Salesforce Activity is enabled. 

This is an important change from the older EAC architecture.

The Biggest EAC Change: Salesforce Made Email Data More Native

Historically, one of the major criticisms of EAC was that captured email data did not behave like normal Salesforce records. That changed.

Starting with Summer ’25, Salesforce introduced Sync Email as Salesforce Activity.

With this architecture, captured emails can be stored as standard Salesforce activity data and become accessible to reports, workflows, flows, triggers, APIs, other Salesforce platform capabilities and AI-powered features.

Salesforce is also migrating existing EAC implementations to the newer architecture during 2026. The migration date is org-specific, with notifications rolling out from June 2026.

How EAC Email Sync Works

The basic architecture is:

Salesforce also allows admins to control whether entire emails or only email headers are captured. Header-only capture includes sender, recipients and timestamp but excludes the subject and body. 

That can be useful for organizations with stricter privacy requirements.

What EAC Does Well

1. Automatic capture

The biggest benefit is obvious: Reps don’t have to remember to log every email. That dramatically reduces the manual data-entry burden.

2. Native Salesforce data

With Sync Email as Salesforce Activity, captured emails become Salesforce activity records rather than living only in an external activity layer. 

3. Reporting and automation

Because the activity becomes Salesforce data, teams can use it in reporting, workflows, triggers and APIs. 

4. AI context

Email activity can also feed Salesforce’s broader intelligence and AI capabilities.

Salesforce explicitly describes EAC as providing context for AI agents and features. 

5. Custom matching

Salesforce has introduced Flow actions for matching email activity to records, allowing admins to customize how emails are associated with CRM data. 

This is a significant improvement over the older, more rigid EAC model.

EAC Limitations Admins Should Understand

This is where a proper Salesforce email integration evaluation becomes important.

EAC is considerably more capable in 2026 than it was a few years ago.

But automatic capture does not automatically mean complete, clean or useful CRM data.

1. Email aliases aren't supported

Salesforce explicitly states that EAC requires the connected email account to be the user’s primary account and that email aliases aren’t supported. 

That matters in organizations where people use multiple domains, brand aliases, acquired-company addresses, regional addresses or secondary sending identities.

An enterprise environment is rarely as simple as: One Salesforce user = one email address.

2. Matching is still a critical problem

Getting an email into Salesforce is only half the problem. The more important question is where does it go?

Salesforce uses email addresses and CRM relationships to match activity. The newer architecture allows admins to customize matching with Flow, which is powerful. 

But complex organizations can have:

  • Multiple contacts with similar information
  • Multiple opportunities at one account
  • Parent and child accounts
  • Multiple business units
  • Partner-led opportunities
  • Acquired domains
  • Shared mailboxes
  • Multiple buying groups
  • The same stakeholder involved in several deals

The more complex the data model, the more important matching becomes.

A system that captures 100% of emails but attaches 20% to the wrong opportunity is not a successful email sync.

3. Email aliases and shared mailbox scenarios require attention

EAC’s user-to-mailbox architecture is designed around a connected primary account.

If your organization relies heavily on:

  • sales@
  • support@
  • partnerships@
  • Regional mailboxes
  • Shared addresses
  • Multiple identities

you should test the exact workflow before deployment.

Salesforce’s Outlook documentation also identifies limitations around true shared mailboxes in Microsoft add-ins and distinguishes them from certain supported shared-folder/delegated configurations. 

4. Storage becomes part of the equation

This is one of the biggest changes admins need to understand in 2026.

The newer Sync Email as Salesforce Activity model makes email data more usable because it becomes Salesforce data. But that also means storage matters.

Salesforce explicitly notes that synced emails and tasks are subject to Salesforce data-storage limits and recommends managing and archiving email data. 

This creates a trade-off:

More native data → more Salesforce utility

but potentially:

More native data → more Salesforce storage consumption

For a large enterprise with millions of emails, that is not a trivial consideration.

5. Duplicate activity is possible

Salesforce warns that when Sync Email as Salesforce Activity is enabled, users can still manually log emails.

If the same message is automatically synced and manually logged through the Outlook/Gmail integration, you can create duplicate activity records.

This means admins need to think about the interaction between: automatic email sync + manual logging.

6. Matching can take time

Salesforce documents scenarios where emails captured before or shortly after a Salesforce record is created may not immediately appear on the relevant Activity Timeline.

In some cases, propagation can take up to 24 hours. 

For teams expecting real-time activity visibility, this is worth understanding.

7. There are email-address limits

Salesforce can associate up to 50 unique email addresses from the From, To and CC fields with contact records. Additional addresses are ignored.

That’s unlikely to matter for a normal one-to-one email.

It can matter for large group emails, events and complex stakeholder communications.

How Much Does Einstein Activity Capture Cost?

Einstein Activity Capture availability depends on the Salesforce edition and associated licenses.

Salesforce currently lists EAC Standard across several Sales Cloud editions, while enhanced capabilities can be associated with products such as Sales Engagement, Einstein for Sales and Revenue Intelligence. 

For example, Salesforce currently lists: Sales Engagement at $50/user/month, billed annually, and EAC is included as part of Sales Engagement.

Salesforce’s broader pricing also varies substantially by Sales Cloud edition and add-on configuration. A good question to ask when calculating the cost of EAC is: Which Salesforce license do we already have, what EAC capability does it include, and what additional Salesforce products or storage will we need?

4. Sales Engagement Platforms

The next category is sales engagement platforms. These tools are designed primarily to help sellers and SDRs prospect and engage buyers through email, cadences, tasks, calls, sequences, engagement tracking and follow-ups.

Examples include platforms such as Salesforce Sales Engagement and other sales engagement technologies.

Salesforce’s own Sales Engagement product includes cadences, work queues, lead scoring, email productivity functionality and Einstein Activity Capture. It currently starts at $50/user/month when purchased separately. 

Where sales engagement platforms are strong

They’re excellent when the problem is how to help SDRs and sellers execute outreach at scale.

They can provide automated sequences, email engagement tracking, task management, cadences, and prospecting workflows.

But sales engagement isn't the same as complete activity capture

This distinction matters.

A sales engagement platform knows a lot about the emails its users send through its engagement workflows. That does not necessarily mean it has a complete picture of every customer interaction.

Consider:

  • An AE sends an email manually
  • A customer replies
  • A VP joins the conversation
  • Someone schedules a meeting
  • Another stakeholder sends an email

What Should Salesforce Email Integration Actually Achieve?
